Timely staff access, a new booking widget, customising invoices and more
September is turning into a huge month for new features and bug fixes on Timely. The tech bots are simply unstoppable at the moment!
As a result the news updates have got a little behind, especially with all the online payment activity going on. We want to let you know about big new features on the way, bugs that have been fixed and other smaller changes in a way that suits you.
While we think about how to do this better, here’s a quick rundown in one tidy post.
Changes to staff access
We’ve made some changes to how users control access to staff. The first thing you’ll notice is that “Login details” has been changed to “My profile” (see following image).
We’ve also split out “Staff access” to the main Account menu and renamed it “User access” to make this area clearer.
While we were there, we decided to update the permissions table so that it looks more like the roster system (see following image). We’ve also added a new user access item called “Invoices”. This means that users who need to process payments with invoices need to be granted access before they can.
The really big change is the addition of “Administrators”. These are separate from staff and they’re perfect for receptionists, back-office workers, and so on. The cool thing is that there are no fees for these new administrator roles and they can’t be booked.
You’ll see from the image above that you set up “Administrators” from the settings menu right underneath “Staff”. Click the green “Add Administrator” button and fill out the details like a staff member.
The new administrator will be sent instructions and a password as usual.
A booking widget for your website
Some of you wanted to embed the Timely booking process directly into your website rather than use a button. We listened and now you have a free “Booking widget” that you can embed in your website – much like the existing Book now buttons.
Head to Promote > Booking widget, set your size dimensions, grab the code and embed on your website. Remember you will need admin access to your website. For WordPress users, we also added the booking widget to the existing plugin.
Customising your invoices
Users now have the ability to include the “location address” on invoices as well as additional notes such as payment instructions, etc. Because different countries call invoices different things, you can also change the title from “Tax invoice” to anything you like. In fact, you can hide the header altogether if you would prefer to use your own letterhead.
Miscellaneous fixes and other goodies
Detailed below are a number of less obvious but none-the-less, still important changes:
- Fixed a bug with invoices showing net amount for line item total rather than the actual total.
- Fixed a bug where new accounts were not setting the “show on mini website” option to ticked for the default staff member.
- Fixed the issues with the dropdowns on the calendar screen either wrapping, or not aligning properly.
- Add a URL link to Xero invoices taking customers back to the original invoice in Timely.
- Ability to make tax on services inclusive or exclusive.
- Make hours total in roster report clearer.
- Change the button groups to just Edit button for services, staff and locations.
- And many other miscellaneous bug fixes …

Hi Andrew, is it possible to customise the Description field in the Invoice similar to SMS templates?
Hi Lucy, good question. You can change some of the text shown on the invoices by editing the invoice settings (Settings > General settings) so give that a try. More substantial invoice customisation is coming.
