Booking software gives visibility to physio clinics

SPS Physio has grown organically ever since the owners Tracy and Mark Lamb purchased their first clinic. As the business has grown, the opportunity to expand across multiple locations has come quite naturally. The most recent addition has been a satellite clinic that operates out of a gym!

As they opened their new clinic, Tracy and Mark began investigating the options for appointment scheduling software. Initially the clinic would operate for just two days a week, so they were reluctant to hire a receptionist. After shopping around, the couple signed for Timely. The rest is history, and now Timely is used in all their clinic locations.

Now with four different locations, and 12 employees in total, SPS Physio has grown significantly. With the use of Timely, Mark and Tracy can now log in from anywhere and see what is happening at each clinic. Timely’s Dashboard and Reports offer useful information to help the couple assess how each clinic is performing. They can also quickly view the upcoming week at a glance.

It also makes it easier to book people in for appointments when they are out and about. “In a small town, everyone knows everyone. If we’re walking down the main street, we quite often run into a client or friend who needs to be booked in”.

Timely helps staff manage their own time better

All of the staff at SPS Physio find Timely really easy to use. Despite three out of four of the clinics having a receptionist, there are still plenty of occasions when they are not available. A physio can be in the clinic sole charge, and with Timely they can easily rebook clients themselves.

It also assists the staff to manage their own time. If they know they need to take annual leave on any given day, they can easily block the day out. That way, the receptionist knows they are unavailable, and no booking errors can be made. So Timely really is a time management tool as well as a booking system.

The receptionists at SPS Physio just love Timely. When they need to get in touch with a client for any reason, they simply pull up their information on Timely. No more rifling through the filing cabinet – it’s all there in the customer profiles.

Eleanor, the receptionist at the Helensburgh Dunedin clinic, likes how she can check Timely in the mornings from home. “I just look on Timely first thing, and I can see when the first appointments are. I then know what time I can come into work. It’s great when you’re juggling home life and work.”
